10 ChatGPT Prompts for Office Work That Save Hours Every Week (Copy-Paste)

Most office work is not hard. It is just slow: turning messy notes into a clear email, preparing for a meeting, writing the weekly update, finding the right Excel formula. ChatGPT (or any free AI chatbot) can do the first draft of all of these in seconds — if you ask the right way.

Below are 10 copy-paste prompts that working professionals in India use every day. Replace the parts in [brackets] with your own details.

1. Messy notes → a clear email

Rewrite these notes as a short email to [person]. Put the request in the first two lines. End with one next step and a date. Notes: [paste]

2. Meeting prep in 5 minutes

I have a meeting with [who] about [topic]. Give me 3 points I should make and 3 questions they are likely to ask, with short answers.

3. Meeting notes → action items

From these meeting notes, list: decisions made, action items (owner + deadline), and open questions. Notes: [paste]

4. The exact Excel formula you need

Column A has [data], column B has [data]. I want [result]. Give me the exact Excel formula and one common mistake to avoid.

5. Your Friday win update

Turn these notes into a 4-line update for my manager: what I delivered, the impact, what is next, and where I need support. Notes: [paste]

6. Say no politely

I need to decline [request] from [person] because [reason]. Write a polite, firm reply that offers this alternative: [alternative].

7. Appraisal achievements that stand out

Write 5 achievement statements from this list using the formula: action + measurable result + business impact. Keep them specific, not boastful. List: [paste]

8. Explain something complex simply

Explain [topic] to a senior manager who has 2 minutes. Use plain language, one example, and end with what decision they need to make.

9. Find out where AI fits in your job

My role is [role]. My weekly tasks are [list]. Rate how much AI can help with each (high / medium / low) and which ones need human judgement.

10. Learn a new skill in 30 days

Create a 30-day plan to learn [skill] in 30 minutes a day using only free resources. Each week should end with something I can show my manager.

Three rules that make these prompts work

Give context. Paste your real notes, not a summary. Ask for a format. “4 lines”, “a table”, “under 120 words”. Always edit. AI writes the first draft; your judgement makes it good — and never paste confidential company data into a public AI tool.
